Six Signs Your Prospects Are Slipping Away

Check the ones that sound like your shop. Two or more, and you are losing sales to silence right now.

  • You cannot say how many open quotes you have right now

If the number lives in your head, some of those quotes are already gone.

  • Follow-up happens when you remember

Busy weeks are exactly when you forget, and busy weeks are when the most quotes go out.

  • Prospects say “I’ll think about it” and you never hear back

That is not a no. It is a question nobody answered.

  • You learn you lost a job when you see the other company’s truck

A lost deal you never hear about is a deal nobody followed up on.

  • Every follow-up message is written from scratch

Writing takes time, so it gets skipped. Templates get sent.

  • Old leads never hear from you again

Last spring’s “not yet” could be this fall’s yes, if they still remember your name.

Here is the good news. None of these are sales skill problems. They are system problems, and a simple follow-up system Sunrise FL owners can copy fixes them. You do not need to become a smooth talker. You need a list, a calendar, and a few messages written ahead of time. The small business marketing guide covers the rest of the path from lead to repeat customer.

Dr. Paul’s Insight: Being Remembered Takes Repetition

Dr. Paul’s Insight · From Marketing for Small Businesses, Book 4, Chapter 8, “New Name Every Season: A Monkey’s Signboard” · Dr. Paul’s Fabled Forest Business School Series

“I keep refreshing the brand. Why does nobody remember us?”

Dr. Paul’s take: People remember what they see again and again, not what changes every season. Follow-up works the same way. One message, sent once, gets lost in a busy inbox. The same clear voice, showing up on a steady schedule, gets remembered. A Sunrise prospect who hears from you four times over a month may well call you first when they are ready. Read more on why consistency beats novelty in the small business marketing guide.

The Arena Crowd and the Corporate Office Need Different Follow-Up

Sunrise mixes event crowds and office buyers in the same city. One follow-up schedule will not fit both.

A lead who grabbed your card on an event night may forget your name by Monday. For that buyer, the same-day and day-two messages do most of the work. A buyer inside a corporate office may need approvals, so the day-five question about a decision date matters most, and the monthly note keeps you on the list for next quarter. Tag each quote on your list as event or office. That keeps the follow-up system Sunrise FL buyers respond to running on the right clock.

One housekeeping note: Broward County requires its own local business tax receipt, separate from your Sunrise one, for any business in the county unless exempt. Renewals open July 1. A lapsed receipt is one more thing that could stall a corporate buyer’s vendor paperwork.

A Follow-Up Schedule That Runs Without You Remembering

Are your Sunrise prospects slipping through the cracks? If follow-up depends on your memory, yes. Here is a schedule you can copy. Write each message once. Then send it on the date, every time.

WhenWhat you sendWhy it works
Same dayThank you, plus a short walkthrough of the quote by phoneShows you are organized and answers the first questions while interest is high
Day 2One useful answer to a question most buyers askFills the silence with help, not pressure
Day 5A short check-in and one question: when do you plan to decide?Turns a vague maybe into a date on both calendars
Day 10Proof: a photo of a similar job or a recent customer reviewReminds them why you, right when they are comparing
Day 21A polite close-the-file noteMany quiet buyers reply as soon as the offer seems to be going away
Every month afterA short note or seasonal reminder to everyone who said not yetKeeps your name in their head until the timing is right

Three Pieces That Make It Run on Its Own

  1. One list

Every quote goes on a single list the day it goes out: name, phone, amount, date sent. A spreadsheet works. So does a simple CRM.

  2. One calendar

When the quote goes out, put all six follow-up dates on the calendar right then. The calendar remembers so you do not have to.

  3. One owner

Someone has to send the messages. If it is not you, name the person and give them the templates. Check the list together once a week.

This is not about becoming a salesperson. Dr. Paul works with plenty of owners who are excellent at the trade and stretched thin on the business side, and he helps you put a simple system like this in place so it keeps running on your busiest weeks. It fits the Organize step of Dr. Paul’s Organize-Plan-Grow™ Strategy.

A City Full of Prospects Means More Chances to Drop One

Sunrise draws a huge amount of traffic into a small area. That is great for leads. It also means a business here could collect more inquiries than it can track by memory.

Retail shoppers, office tenants, event crowds, and residents could all be on the same lead list. Each one moves at a different speed. A shopper may decide this week. An office manager may need three quotes and a sign-off. A follow-up system keeps both alive without you sorting it out in your head.

Follow-Up Questions Sunrise Owners Ask

Why do prospects stop responding after I send a quote?
Most often because something is unclear and nobody followed up to clear it. The buyer gets busy, compares a few options, and picks whoever stayed in touch. A quote with no walkthrough and no follow-up looks like a company that is not that interested in the job.
How many times should I follow up on a quote?
Plan on several touches over about three weeks, then a monthly note after that. A simple schedule is the same day, day two, day five, day ten, and day twenty-one, each with a different purpose: walk through the quote, answer a question, ask for a decision date, show proof, and close the file.
Do I need a CRM to follow up?
No. A spreadsheet and a calendar work fine for most small businesses. What matters is that every quote goes on one list the day it goes out and every follow-up date goes on the calendar at the same time. Move to a CRM when the list gets too long to manage by hand.
Do I need a Business Tax Receipt to join the Sunrise Small Business Academy?
Yes. The City of Sunrise says a current Business Tax Receipt is required to participate in the Sunrise Small Business Academy and to qualify for City, County, or State funding and grants. Sunrise receipts are renewed on or before September 30 each year.
Can Dr. Paul set up a follow-up system for my business?
Dr. Paul helps you build it. In a business consulting session he works through your quote list, your buyers, and your schedule with you, and you leave with a follow-up plan and message templates your team can run every week.

The sale goes to whoever followed up. Make it you.
